Travel Assistance Procedure
21-12-2010ACCOMMODATION:
The AEU funds accommodation for country members attending AEU meetings, conferences or training if they cannot return on the same day due to airline timetables or distance. For training courses, overnight accommodation is provided only if a member has to travel more than three hours in the day. Members extending their stay for personal reasons must make their own arrangements and pay any additional costs. Accommodation is within walking distance of the AEU. Lina Candiotto from the AEU manages all accommodation bookings.
Accommodation booked by the AEU is for a twin-share (i.e. two beds in one hotel room) room and continental breakfast. The AEU is billed directly. Members are put in a share room with another member unless other arrangements are made with Lina. A single room will only be booked for members who have a medical condition or if a member opts to pay half the cost, currently $57.50. Members wishing to have a family member share their room must advise Lina, and pay half the cost of the room and breakfast. Members are responsible for payment of newspapers, beverages, telephone calls, meals and other incidentals on check-out.
Members who need to cancel accommodation arrangements which have been made by the AEU must notify Lina Candiotto as soon as possible so that bookings can be cancelled or held for a later event. Members who fail to notify the AEU of their inability to attend will be invoiced for the cost of forfeited bookings.
TRAVEL:
Country funding assistance may include the cost of a flight, bus/ferry fare or a cash amount based on mileage.
Members requiring flights MUST contact Lina Candiotto at the AEU with the maximum notice possible. If required, the cheapest available fares will be purchased for members.. Members will be invoiced for any difference in cost if they opt to extend their stay in Adelaide for personal reasons.

Should members prefer to travel by car, they may claim a 30 cents per kilometre mileage allowance. Pitjantjatjara members will be reimbursed 60c per kilometre for travel on unsealed roads. Total kilometres paid is not to exceed the equivalent available airfare. Travel associated with attendance at Area Meetings is reimbursed at the rate of 30¢ per kilometre for distances over 50km round trip.
Coach fares can be arranged for country members. To claim reimbursement for bus/ferry expenses or mileage, members should present a completed AEU Member's Expense Claim Form with receipts attached.
Cab fares, hire cars and city travel are not usually funded, as accommodation is always booked by the AEU within walking distance from the AEU office. Full reimbursement is only provided for return taxi travel from the airport to AEU accommodation. Receipts must be produced, and attached to the completed Member's Expense Claim Form.
